Integration Feature Details

Email and attachment syncing

Lawmatics works with your Outlook inbox to sync and log emails and attachments from any of your Lawmatics contacts. When an email arrives from a known contact, the system logs that communication on the appropriate profile. Outbound emails sent through Outlook are logged on the contact record as well. When attachment sync is enabled, files from synced emails are saved to the contact's files section automatically.

Appointment sync

Appointments booked in Lawmatics will automatically and instantaneously sync onto the host's Outlook calendar, with all attendees, location, and details included. Changes made in Outlook such as rescheduling, editing details, or canceling are reflected back in Lawmatics through the two-way sync.

Availability check for booking links

When using Lawmatics booking links, allowing contacts to book their own appointment based on the host's availability, the synced Outlook calendar account is checked to ensure that no double-booking can occur. Only free time slots on the Outlook calendar will be listed as available bookings.

Send from Outlook outbox

Lawmatics emails can be configured to send through your Outlook account rather than from a Lawmatics system address. This means prospects and clients see your firm's familiar email address, improving open rates and maintaining professional consistency across all communications.

Partner Implementation Blueprint

Estimated timeline: 1 to 2 weeks including per-user account connections, email sync configuration, calendar setup, booking link testing, and team training.

  1. 1

Connect each Lawmatics user's Outlook account through the integrations page and authorize email and calendar sync permissions.

  2. 2

Configure email sync settings including inbound logging, outbound logging, and attachment sync preferences based on firm policy.

  3. 3

Enable send-from-outbox so Lawmatics emails display your firm's Outlook address rather than a system address.

  4. 4

Set up calendar sync and verify that Lawmatics booking links check Outlook availability before displaying time slots to prospects.

  5. 5

Test the full workflow by sending and receiving emails with a test contact, booking a test appointment, and confirming all data appears correctly in both Outlook and Lawmatics.

QA Checklist

  • Inbound emails from Lawmatics contacts are logged on the correct contact's activity timeline with full message content.
  • Outbound emails sent through Lawmatics appear in the Outlook sent folder and are logged on the contact record.
  • Calendar appointments booked in Lawmatics appear on the host's Outlook calendar with correct details, and changes made in Outlook sync back.
  • Booking links display only time slots that are actually free on the host's Outlook calendar.

Common Handoff Risks

  • If email sync is enabled before contact records are cleaned up, emails from unrecognized senders may not be logged, creating gaps in communication history.
  • Firms that do not enable send-from-outbox will have Lawmatics automation emails delivered from a system address, which can confuse recipients and hurt open rates.
  • Calendar sync requires each user to connect individually. If an attorney forgets to connect, their booking links will not check Outlook availability, leading to potential double-bookings.

When This Integration Is the Right Fit

  • Automatically log all email communication with prospects and clients on their Lawmatics contact record, eliminating manual email forwarding or copy-paste documentation.
  • Send Lawmatics follow-up emails and automation sequences through your firm's Outlook address to maintain deliverability and brand consistency.
  • Allow prospects to self-schedule consultations via Lawmatics booking links that respect each attorney's real-time Outlook calendar availability.
  • Capture email attachments like signed retainers, ID copies, and supporting documents directly to the contact's file section in Lawmatics without manual downloading and uploading.

How This Fits into a Lawmatics Implementation Plan

A strong Microsoft Outlook integration only works when field mapping, workflow ownership, QA, and team training are designed together. MHSB typically scopes this work as part of a Lawmatics audit, implementation project, or post-launch optimization engagement.

Source-Aligned Overview

Sync your Outlook emails and attachments with Lawmatics with the option to send Lawmatics emails from your outbox. The integration includes calendar sync so appointments booked through Lawmatics automatically appear on the user’s Outlook calendar. Enabling two-way sync allows users to edit, reschedule, or delete calendar events with changes reflected in Lawmatics. When using automatic scheduling via booking links, Lawmatics considers Outlook calendar availability to prevent double-booking.

The Microsoft-First Law Firm and Lawmatics

Many law firms run their entire communication and productivity stack on Microsoft 365. Outlook handles email, calendaring, and contact management. OneDrive and SharePoint handle file storage. Teams handles internal communication. For these firms, Lawmatics needs to fit seamlessly into the Microsoft ecosystem rather than pulling attorneys into yet another platform.

The Outlook integration achieves this by making Lawmatics an invisible layer on top of the tools attorneys already use. Email communication is logged automatically. Calendar events sync without manual entry. Booking links respect real-time Outlook availability. The result is a CRM that captures client interaction data without requiring attorneys to change their daily workflow.

Email Logging as a Compliance and Quality Tool

For law firms, maintaining a complete record of client communication is not just good practice. It is often a professional obligation. The Outlook email sync creates an automatic log of every inbound and outbound email with Lawmatics contacts, eliminating the risk that important communications fall through the cracks.

MHSB configures the sync so that emails, attachments, and sending behavior align with your firm’s policies. Whether you want to log all emails automatically or control which messages are captured, the integration supports your compliance requirements without creating extra work for attorneys.

One of the most common scheduling problems at law firms is double-booking. Attorneys maintain busy calendars across court dates, client meetings, internal meetings, and personal appointments. If a prospect books a consultation through Lawmatics without checking the attorney’s real Outlook calendar, conflicts are inevitable.

The Outlook calendar sync solves this by checking real-time availability before displaying time slots on booking links. When a prospect visits your booking page, they only see times that are genuinely open on the host attorney’s Outlook calendar. MHSB configures buffer times, working hours, and availability rules during setup so the booking experience works correctly from launch.

Integration FAQ

Does every attorney need to connect their own Outlook account?

Yes. Each Lawmatics user connects one Outlook account. MHSB provides setup instructions and walks each user through the connection process during implementation.

Will old emails sync retroactively?

Email sync begins from the point of connection forward. Historical emails are not retroactively imported. MHSB recommends connecting Outlook early in the implementation process to begin building communication history.

Can we control which emails get logged in Lawmatics?

Lawmatics logs emails from addresses that match existing contacts. You can also configure exclusion rules to prevent certain email addresses or domains from being logged.

Does the calendar sync work with shared Outlook calendars?

The sync connects to the user's primary Outlook calendar. For firms using shared or delegated calendars, MHSB reviews your calendar setup during planning and advises on the best configuration.

Can we use Outlook sync alongside the Gmail integration?

Each Lawmatics user connects one email provider. Users on Outlook connect Outlook; users on Gmail connect Gmail. MHSB configures each user's connection during setup based on their primary email platform.

Will Lawmatics email automations show my Outlook signature?

Emails sent through the Outlook outbox feature will use your Lawmatics email template, not your Outlook signature. MHSB helps design Lawmatics email templates that match your firm's branding and signature format.
