Lawmatics works with your Gmail inbox to sync and log emails and/or attachments from any of your Lawmatics contacts. How it works: An email comes into your Gmail, if the sender is a contact in Lawmatics, the system will automatically log that email communication on the appropriate profile in Lawmatics. If a file is attached to the email, the attachment will be saved to the contact's files when the attachment setting is turned on. Similarly, the sync works the other way as well, logging emails that you send out of your Gmail onto the appropriate contact.
While Lawmatics meets industry standards for email deliverability, enabling the send from outbox option increases deliverability rates even more. With this setting activated, all emails sent out of Lawmatics from your user account will be sent directly from your Gmail account and will also appear in your regular outbox.
Appointments booked in Lawmatics will automatically and instantaneously sync onto the host's Google calendar, with all attendees, location, and details included.
When using Lawmatics booking links, allowing contacts to book their own appointment based on the host's availability, the synced Google calendar account is checked to ensure that no double-booking can occur. Only free time slots on the Google calendar will be listed as available bookings.

Without this integration, there is no way for the booking link to know when an attorney is unavailable. With it enabled, the system checks the attorney’s Google Calendar in real time and only offers open time slots, eliminating the back-and-forth scheduling that slows down intake.
Common setup priorities for Gmail integration include: authenticating individual user accounts (not shared mailboxes), configuring email sync scope to avoid logging irrelevant messages, enabling the outbox send setting for automated sequences, and testing two-way calendar sync against each attorney’s actual schedule before activating booking links.
Each Lawmatics user connects their own individual Gmail account. There is no shared-mailbox sync option. This ensures that email logs and calendar availability are accurate per person. MHSB walks each user through the connection process during onboarding.
No. Lawmatics only logs emails where the sender or recipient matches an existing contact in the system. Marketing newsletters, internal team emails, and messages from unknown senders are ignored. If you still see noise, MHSB can help you clean up your contact list to tighten the match criteria.
With two-way sync enabled, the updated time and details are pushed back to Lawmatics automatically. The contact record reflects the change, and any automations tied to the appointment trigger based on the new date. MHSB tests this behavior during QA to confirm it works with your specific booking link configuration.
A single Lawmatics user can only connect one email provider at a time. If your firm has some attorneys on Gmail and others on Outlook, each user connects their respective provider. MHSB helps coordinate mixed-environment setups so that booking links and automations work consistently regardless of which email platform each user is on.
It works with both personal Gmail and Google Workspace (formerly G Suite) accounts. Most law firms use Google Workspace for their custom domain email. The setup process is identical, but your Google Workspace admin may need to approve the Lawmatics OAuth app in the admin console before users can authenticate.
